LEVEL ONE: CONDUCTING AN INSTA-AUDIT Purpose: School districts use an informal, self-reflecting assessment process using the scoring guide for assessing all indicators called “Illinois NextSteps Analysis Guide” to determine current status and prioritize next steps. Gathering the Group: Invite a broadly representative group together from each building: (5-7 participants) 1 principal, 2-3 teachers, 1 support staff, and 1-2 parents. While these building teams could meet separately, there will be more dialogue and impact if multiple groups meet together. Time: 2-3 hours Set-up: Round tables – refreshments if possible Materials: Each individual will need a yellow marker and documents. 1 poster size set of the Insta-Audit. 3/4-inch color dots, flip charts, markers, masking tape. Process: Introduce purpose and agenda. Give a brief report of the present status of technology implementation, budgets and successes. Prepare the group for their work to help the district go to the next level of implementation to organize for student results. (10 min) Review the Illinois NextSteps Analysis Guide to give the group an overview of indicators and traits considered essential to organizing for success. (10 min) Ask groups to participate in a “think, conclude, share, planning forward” process Determine a table facilitator, recorder, and reporter. (25-30 min)Be available for questions. CONCLUDE: Invite the building team to rejoin each other to “rank” their Illinois NextSteps Analysis Guide. The table facilitator will call for the conclusions and negotiate any conflicting choices by asking for what “data or information” they used to reach that decision. The table recorder will mark the group decisions. (30-35 min) SHARE: Group will take a 12 minute break / review the conclusions while all table reporters mark their building’s overall conclusions with dots (labeled with building’s name) on the large poster size Illinois NextSteps Analysis Guide. (10 min) ROUND ONE PLANNING FORWARD: Table facilitator will “go-around” the group while recorder list responses on the flip chart, “What do we need to specifically know more about at this time to ensure our data is complete enough to move forward?”(5-7 min) ROUND TWO: PLANNING FORWARD: Table Facilitator will invite the group to brainstorm a list of strategies with the following question: “Now that we have better understandings about this, what strategies need to be considered to move the district forward?” Keep group focused on what they DO want to have happen. (7-10 min) Table Recorders make a list of strategies on the flip chart as they are brainstormed by the group.Not necessary for whole group to agree nor prioritize nor word smith. Group now prioritizes the top 2-3 strategies from the list that they believe are the critical levels needing the most urgent implementation for the most benefits. (10-15 min)

LEVEL ONE: CONDUCTING AN INSTA-AUDIT WHOLE GROUP READOUT: Table reporters read 2-3 strategy recommended by their group. WHAT NEXT: Meeting facilitator reviews the next steps following the meeting. Recommendations to facilitation team to consider for next steps: 1) Designatea task leader to be responsible for following through on group work 2) Createa “Summary Report”from this meeting with all information generated from participants be developed for district decision-makers 3) Forma task group to develop an Implementation Action plan for strategies recommended that will work with other system initiatives and issues to integrate the technology efforts into school-wide efforts 4) Createfeedback loops or communications with the participants to inform them of the status, usefulness or future needs that resulted from their efforts at this meeting. CLOSING: Each participant uses a 3X5 card to record 1) Advice to themselves for themselves for supporting the strategies needed to move things forward 2) Advice to the district / designated leader(s) for supporting the strategies needed to move things forward.
