It provides various tools which can be used to create collections, upload multimedia, grant access to users etc. This is software is a must for a collection builder. However, students don’t need to have this. 2. Inscribe is a record publishing software of the Insight Suite (Get it …. Inscribe …). A collection owner/cataloguer can use this to manually add/edit/delete records which is normally associated to an image or multimedia asset. This software can be used by collection builder or any other appropriate user (Cataloguers) but not by a student. 3. Insight They call this software just Insight. Creating your First Collection Before you can make a collection you need to first acquire proper rights to the system. Please contact luna ‐ support@umd.edu for the rights. I. You always start creating a collection using Insight Studio. You need to start Insight Studio and Log in. You should see a list of collection managers. Select the one you have access to and select the option Create New Collection.
II. III. IV. V.
Click on Next till you reach the Collection Properties page. Fill in the fields accordingly. It is suggested that you name your collection using the format College Name Collection Name. For e.g. a collection named Buildings of Architecture school should be named ARCH Buildings. This will help to organize the collections pretty easily. The next page allows you to select the Collection Theme. This is will set the background of the collection. Next in line comes the Catalog Templates. Catalog Templates decided the Metadata structure that is associated with the images. You can either select from the available options or you can create your own template. You can create a template based on other templates as well. For More information, consult Users Guide to Basic Collection Building ( http://about.luna.umd.edu/documents/Insight_Basic Guide.pdf ) _ The next step should be to Publish the Collection. This will set up the Collection with the above set properties.
Uploading Data and Images This section explains the steps required to import data, media and map them automatically in LUNA. It is assumed that you already have set up a collection with the required metadata template. In Order to get started we need two main things: I. The Data (preferred in a Comma Separated File ) If you already have data in a database or other program find if you can export them to a Comma Separated File Format. The Data Fields should ideally match with the Fields in your Metadata Scheme in LUNA. For e.g. consider this test template in LUNA.
The Corresponding Data File has the fields:
The Red Rectangle Shows the Field Names and the Blue Rectangles shows the Data.
II. The Mapping information ( in a Tab ‐ Limited Text File) Mapping File contains information regarding which DATA RECORD relates to which IMAGE in the collection.
It should like this It should contain only two columns, the first one should be the IMAGE FILENAME and the second column should be the RECORD NUMBER/IDENTIFIER of the data . Steps to Import
1. Log in to INSIGHT STUDIO and select the appropriate collection. 2. Click on Import Data 3. Select the DATA Comma Separated File that you have. Make sure you have the appropriate type of File selected. Click on Next.
4. After you click next, LUNA reads the Data File and maps it to the FIELDS in the TEMPLATE. If everything matches it will show you the mappings.
In case it shows <MISSING MAPPING>, you need to click on it and manually map it to a field.
5. Finally Clicking on Finish will import the Data into the collection.
6. 7. 8.
The Next step is to upload the Images. Click on IMPORT MEDIA. We need to first create a new Batch. Select the option of Import Images. Browse for Images and select them. And finally Import them.
9. Click on the Tab Linking. Select the option Use External Mapping. Browse to the Mapping File. Make sure that the Mapping Field Name is correct (It specifies what the second column in our mapping file is). Finally Click Apply Links.
10. You can Review the Mappings by clicking the Review tab.
11. Click on the Publish Tab to finally publish the collection. First Click on Select All Unpublished Media. Then click on the Down Arrow. Then Click on Apply Changes.
The collection should now have the data and the images linked.
