LESSON 4: DIRECTORY PLATE WITH TEXT IN COLUMNS In this lesson we’ll learn how to use GravoStyle’s ability to automate the setup of text that we wish to enter in columns. We’ll design a 6 inch wide by 8 inch long directory for a small medical office building. Our finished plate is shown in Figure 4-1. In this lesson we’ll learn how to use GravoStyle’s ability to automate the setup of text that
we wish to enter in columns.
We’ll design a 6 inch wide by 8 inch long directory for a small
medical office building.
Our finished plate is shown in Figure 4-1.
The concepts we’ll learn are how to:
Setup baselines for text to be entered in col-
umns
How to select more than one object at a time
and move them together
How to fine tune the placement of objects by eye
Our job’s design specifications are:
Filename: Medical Directory.gnh
Plate: 6 inch by 8 inch with a 0.1 inch margin all
around
Material: Gravoply 2, white core with a dark red/
brown cap
Text: US Block 1L, 0.3 inches high for directory
entries, 0.4 inches high for all other text
Text Placement:
Building name at the top margin
Building address ½ inch above the bottom of the plate
Directory: vertically centered on the plate
Accuracy of Text Placement: visual accuracy acceptable
Our job plan is to:
Open a new file in GravoStyle 5, then
Define our plate size as 6 by
8 with a 0.1 inch margin
Enter our building text in the default mode of automatic text entry with its default
center justification, then
Change the font of the building name to US Block 1L with a height of 0.4 inches
and place this text at the top margin, then
Specify the baselines and text characteristics for the columnar text, then
Enter the directory text, then

Place the directory in the middle of the plate, then
Enter the address and position it ½ inch above the bottom of the plate, then
Select our cutting tool size, then
Enter the WYSIWYRE screen to view a simulation of our finished directory plate.
STEP 1: OPEN A NEW JOB AND SET THE MATE-
RIAL DIMENSIONS
We’ll begin by opening a new job in GravoStyle and defining a
6 inch wide by 8 inch high plate with a 0.1 inch margin all
around.
STEP 2: ENTERING BUILDING NAME TEXT
After we accept the definition of our plate size and margin,
GravoStyle will be in its Automatic Text mode.
We’ll type in
the building name on two lines and change the text height to
0.4 inches and the font to US Block 1L.
Note that we can change the height and the font before we type
or after we type - the sequence isn’t important.
We’ll change to Manual Text mode, re-establish our 0.1 inch margin and drag the text to the
top border.
To do this, we’ll first click on the toolbars selection arrow to enter the selection
mode and we’ll click on either line of our text.
We’ll add the second line by holding down the
control key, with the first line still selected, and then click on the second line of text.
We’ll
then drag the text to the
top margin and our job will look as it appears in Figure 4-2.
STEP 3: USING THE “TEXT IN COLUMNS” TOOL
Part of the power that GravoStyle provides is a number of tools that are dedicated to tasks

We could also select both lines of text by dragging a rectangle with the mouse cursor
completely around both lines of text.
This is, more or less, a Windows convention
that works with most graphics programs.
It works for selecting any number of sepa-
rate objects at one time as long as all of each desired object is totally enclosed by the

We’ll find it by clicking on the “Text tools” icon on the left toolbar
(Figure 4-3).
A pallet of twelve tools will open and we’ll see the
“Text in columns” positioned at the left, two up from the bottom.
(
We can look at some of the others, and see that their icons clearly
identify most of the others, such as text on an arc, text at an angle,
vertical text, text within a rectangle, etc
.)
We’ll click on the “Text in columns” tool and …
Nothing happened!
Why? Because we’re not in Text mode - we’re in selection mode.
We have to be in Text mode to invoke the “Text in Column” tool!
We’ll recover by clicking on the Text icon,
and we’ll now be in text mode.
When we
enter text mode, we’ll see that one line of
our building name is highlighted as se-
lected.
Make it a matter of good practice
to unselect this text by clicking anywhere
else on-screen.
Proceeding with other
non-related tasks could have unexpected
results if you have some of your work al-
ready selected.
We’ll open the “Text in columns” tool by
clicking on it and the first of several suc-
cessive interactive dialog windows will
open (Figure 4-4).
It’s graphics hint at this tool’s ability to let
us enter the parameters needed to fully
define how the baselines for our text will
be positioned and spaced.
This particu-
lar window, however, is limited to specify-
ing only the text height and either one of two methods for proceeding.
We can elect a method where we specify the baselines of each column of text directly or we
can choose a method that lets us proceed as though we were entering text in a table, which,
of course, we really are.
For this job we’ll chose to continue by selecting “Setting on base-
line”.
We’ll next click on “Next” and our second dialog window will open Figure 4-5)

Let’s make the settings in this
window in the order of the red
numbers shown in Figure 4-5:
1. Here, we’ll enter the
number of rows (6) and
colums (2).
2. At this location we’ll
specify whether or not
to have all of the col-
umns be the same
width.
We’ll elect not to
by un-checking the box.
3. We’ll tell GravoStyle
that we want a 4 inch
width for the first col-
umn.
4. We’ll tell GravoStyle
that we’ll use the entire 4 inches available
for this column.
5. We’ll enter 0.45 inches as the spacing between rows.
6. We’ll choose to have the first column left-justified.
7. Since we want to use the entire 4 inches available on the first column’s baseline,
we can’t have any left margin, so we’ll enter “0” here.
8. This dialog area lets us locate the first baseline on the screen with precision.
Since
our job specifications allow for visual accuracy, however, we don’t have to enter
anything in this area.
We’ll accept the defaults and drag our baseline pattern into
position later.
This saves doing some arithmetic and speeds up our work.
9. We might be tempted to click on the “Next” button now but we’re not through.
We’ve only specified the first of two columns which differ in width and we now have
to specify column 2.
We’ll do this by clicking in the right space in the scrollbar at
area 9 and move on to the screen for the second column (Figure 4-6).

We’ll now enter our settings for
the second column.
We’ll specify
a column width of 1.8 inches with
a usable text width of 1.4 inches.
This means that we enter 0.4
inches for the left margin of this
column to ensure this value as a
minimum space between the two
columns of text.
Our line spacing
will be the same as column one -
0.45 inches - and we’ll right-justify
column 2.
We’ve finished specifying the col-
umns and we’ll now click on the
“Next” button.
This will bring us to
the next and final dialog window.
It’s titled “Strokes and bor-
ders” (Figure 4-7).
The “Strokes and borders” window lets us en-
grave:
A line between the columns, or
Lines between the rows, or
A line between the columns
and
lines between the rows, or
Borders around all the rows and
columns
We’ll elect not to have any separator lines or
borders engraved.
This screen also lets us select a tool color for
lines and borders.
We’ll accept the default
(black); we don’t have any lines or borders
anyway.

We’ll now click on “Finish” and our GravoStyle screen may look as shown in Figure 4-8.
Oh-oh!
Where are our baselines?
They’re there - they’re just not in the visible part of the screen.
We could hold down the
control key while we click on our right mouse button,
but we’ll try a powerful shortcut.
We’ll just double-click our right mouse button (no control key) and our screen will zoom
to the size needed
to show
all
items.
Our screen will now
look like Figure 4-9.

STEP 4: POSITION COLUMNAR TEXT BASELINES
We can now see our text baselines.
We’ll click on them
with our selection tool arrow and we’ll find that one click
selects
all
of them.
They behave as one object.
We’ll click and drag towards
the desired position, centered on the plate.
As we drag,
the cursor changes to the four-arrowed cross, signifying
that we’re moving.
We’ll roughly position the text base-
lines.
We’ll next drag a horizontal guide line from the top ruler
bar and place it at the middle of the plate - 4 inches on the
left ruler bar.
Well then again grab the text baselines with
the mouse and drag them into position.
It can sometimes be difficult to position items with preci-
sion with a mouse.
There is another way.
When we get
close enough, we can release the mouse and use the key-
board’s arrow keys to nudge an item into position.
We’ll
do this and when we’re done our screen should appear
as shown in Figure 4-11, with the box (it’s called a
“handle”) at the center of the selection centered on the
guide line and the text baselines centered left-to-right on
the plate.
We’ll now delete the guide line (“Modify” menu, then
“Guide lines” submenu) to reduce screen clutter, and
we’re ready to enter our columnar text.

STEP 5: ENTERING TEXT INTO COLUMNS
We’ll go into text mode and click on text
placement cursor on the top-left baseline.
We’ll then enter all of the names and
room numbers in their appropriate posi-
tions.
When we finish typing on any
baseline, we’ll find that we can move to
the next baseline by using either the key-
board’s “tab” key or its “enter” key.
If we use the “enter” key, the cursor will
move down one baseline with each key
press until we reach the bottom row.
The
next press of the “enter” key will then
move us to the top of the next column
and we’ll again move down one row per
press.
If we use the “tab” key, the cursor move-
ment will be different.
Each press of the
key will move to the baseline in the next
column of the same row, until we reach
the end of that row.
When we reach the
last column in a row, the next “tab” key
press will move the cursor to the first column of the next row.
In summary, the “enter” key moves the text cursor down rows in a column, and the “tab” key
moves the cursor across columns in a row.
When we enter the last name on the list (M. Jorgenson, DDS) we’ll find that we’ve filled that
baseline and the text will compress as we type more.
For this job, we’ll judge that the com-
pression is minor and acceptable (Figure 4-12).
STEP 6: ENTERING THE ADDRESS LINE
We’re now ready to type the address line.
We’re still in text mode.
We’ll change to center-
justification, make sure that the text height is set at the specified height of .4 inches and that
our font is US Block 1Line.
We’ll type the address, drag a horizontal guide line from the top
ruler and position it 0.5 inches above the bottom of our plate.

line to this guide line, and our job will now look
as it appears in Figure 4-12.
We’ll next delete the guide line and we’re done
with our plate design.
It will look as it appears
in Figure 4-13.
STEP 7: SELECT THE CUTTING
TOOL
We’re ready to select our cutting tool.
We’ll
click on the “Color” icon on the left toolbar, se-
lect tool “0” (black color to match our job) on
the “Machining tools” window that then opens,
click “Properties” and enter the “Tool Proper-
ties” window.
Figure 4-14 shows the “Tool Properties” win-
dow with the parameters entered for this job.
We’ve specified “plotting” for the type of en-
graving, a cutting depth of .003 inches and a #42007040 tool.
This tool has a .040 inch di-
ameter tip.
How did we guess .040?
We really didn’t.

New Hermes materials catalogs each have a handy chart to help us select a tool for various
letter sizes.
This chart is reproduced below in figure 4-15 and it suggests a .040 diameter tool
for the size of lettering in our job.
STEP 8: THE WYSIWYRE SCREEN
Our last step before entering the machining window and sending our job to the table is to en-
ter the WYSIWYRE screen.
There, we’ll see that our selection of a .040 diameter cutter will
give a good appearance.
We’ll select a GravoPly 2 #381 material to view the plate in the
specified colors and the result will be as shown in Figure 4-1.
Make sure to save your finished job!
It’s good practice that can often save
you a lot of
grief should you need to re-do it or refer to it later.
In this
case, we’ll be using this job as a starting point for another lesson.
