Print Audit 5  How to Move from an Access Database to a SQL Database Overview
This document includes the steps to reinstall Print Audit 5 to use a SQL database instead of an existing Access database.
Basic Steps 1. InstallSQL or create a new instance on an existing SQL installation. 2. Exportthe necessary data from theAccess database. 3. InstallPrint Audit 5 with SQL selected for the database type and create a new database. 4. ConfigurePrint Audit 5 and import the data exported from the Access database. 5. Reconfigurethe Client workstations to point to the SQL server (if SQL is on a different server than the original Access server).
Step #1  Install SQL or create a new instance on an existing SQL installation
Follow the instructions in the link below to install SQL Server 2005 Express for Print Audit 5 or create new instance on an existing SQL installation. The instructions include the steps to install Print Audit 5, do not complete the installation until Step #3 below.

Step #2  Export the necessary data from the Access database
1. Openthe Print Audit Administrator and go the Client Custom Fields tab. If there are custom fields present, click on the Name field for one of them and then click the Export button in the icon bar and select the location to save the exported information. You will have to do this for each custom field and save them each in their own file.
2. Goto the Users tab of the Print Audit Administrator. Click the Export button in the icon bar and select the location to save the User information.
3. Makenote of the other tabs in Print Audit that you have changed or added information to as you will have to change these settings when Print Audit 5 is reinstalled.
4. Ifyou have Copy Audit devices, go to the following location and backup a copy of the ‘PACPDEVICES.DB’ file. This file contains the information contained within the Print Audit Administrator for each Copy Audit device. You can restore this file and avoid adding each device manually into the new databasein the steps below. C:\Documents and Settings\All Users\Application Data\Print Audit Inc\Print Audit\ 5.0\CopyAudit
5. Usethe Job Merge Wizard from the Advanced Tools menu of Print Audit 5 to export the existing print job data in the Access database.
NOTE:If you are installing Print Audit on the same computer, we recommend installing the Administrator and Reporting tools using an Access database on another computer so that you can still view the settings for the old computer and compare them to ensure they have the same settings. This can be uninstalled once the transfer is complete.
Step #3  Install Print Audit 5 with SQL
1. InstallPrint Audit 5 by doubleclicking the Print Audit 5 setup file. Select Print Audit 5 Setup. 2. Acceptthe license agreement and click Next. 3. Onthe Setup Type Window, choose “Step by Step Walkthrough” and click Next. 4. SelectSQL Server for the Database type and click Next. 5. Select“Yes – Create a new database.” and click Next. 6. Youwill receive a warning, click “OK” to continue and then click Next again. 7. Select“Yes – Install the Client Communicator” and click Next. 8. Makenote of the Location displayed and click Next. 9. Ifyou are not installing Copy Audit hardware devices, do not install the Copy Audit Communicator. Click Next. 10. If you do not want to track the printing on this computer, you can uncheck Client. Click Next. 11. Click Install. 12. Once the installation is complete, you will be prompted to restart the computer. Press OK to restart or Cancel to restart the computer later. 13. When Windows restarts, Print Audit will generatea few messages. Go to the Database Maintenance Wizard screen. 14. Populate the fields with the correct server name, username and password and click Next. 15. You will be prompted for a database name; the default name is PRINTAUDIT. Click Next. 16. Enter a password for the PrintAudit user and clickNext. Note the information on the next screen as you will need it to connect to the database. 17. Click Create and you will receive a message that you have successfully created the database. Click Done.
18. When this screencloses, you will see the Print Audit window that notifies you that the database settings are invalid. Click OK to continue and enter the appropriate database information. 19. If you do not have this window, you can open the Print Audit Communicator Configuration (START > Programs> Print Audit 5> Communicator Configuration). You will get the Print Audit Microsoft SQL Server Login window or you can choose Set Database from the Tools menu. Populate the fields with the information from creating the database in Step16 above. 20. Click on Login and the Client Communicator should start and you should see the Client Communicator icon in the system tray:
Step #4  Configure Print Audit 5 and import the data exported from the Access database
1. Ifyou have Copy Audit devices, copy the ‘PACPDEVICES.DB’ file that you previously backed up into the following location. This file contains the information contained within the Print Audit Administrator for each Copy Audit device. You do not need toadd each device manually into the new database. C:\Documents and Settings\All Users\Application Data\Print Audit Inc\Print Audit\ 5.0\CopyAudit
2. Openthe Print Audit Administrator andactivate the license using the original License Key information you received.
3. Inthe Administrator, make any necessary changes to the Client Settings screen. Save the changes when complete.
4. Gothe Client Custom Fields tab.Double click on a blank entry under the Name field and add each applicable Custom Field name and field type. Click on one of the Client Custom Fields and then click the Import buttonin the icon bar.Change the Import Type to ‘Print Audit 5 Values File’ and browse tothe file that you exported for this field. Click the Import button to import the values for this Client Custom Field. You will have to do this for each custom fieldthat you exported previously.
5. Goto the Users tab of the Print Audit Administrator. Clickthe Import button in the icon bar and select the file that you saved previously. Click Import.
6. Checkall other tabs in Print Audit and update any other settings to be the same as the Access database.
6. Usethe Job Merge Wizard from the Advanced Tools menu of Print Audit 5 to import the print job data that you exported from the Access database.
Step #5 Reconfigure the Client workstations to point to the new server
There are a few different options to reconfigure the Client workstations to point to the new server. 1. Thebest method would be the same method used to initially deploy the Client. You will have to create a new Network Installation package and then deploy it. Please see the following document for more information on creating a Network Installation: Print Audit 5 Network Installation Guide
2. Youcan also use the Print Audit 5 Client Status and Deployment tool to repoint the Client workstations. a. Goto the Start Menu, Programs, Print Audit Inc., Advanced Tools and choose Client Status and Deployment. b. Clickthe Query button and enter the domain or workgroup name to query the domain. c. Youcan now select multiple workstations and choose ‘Change Client Communicator Location’ from the Push menu. d. Enterthe computer name or IP address of the new server and then choose Update. e. Eitherreboot the workstation or have the user logoff and log back in for the change to take effect.
3. Thelast option is to update each Client manually. a. Goto a Client workstation. b. OpenMy Computer c. Browseto C:\Program Files\Print Audit Inc\Print Audit 5\Client and double click the ‘PA5CCUTL.EXE’ file. d. Enterthe computer name or IP address of the new server and then choose OK. e. Eitherreboot the workstation or have the user logoff and log back in for the change to take effect.
