CALL FOR ABSTRACTS
Introduction

The Clinical Oncology Audit Committee (COAC) is pleased to announce the Audit Poster Competition, which
will take place during the CO Audit Conference, being held at the Institute of Physics, 76 Portland Place,
London, on Friday 6 May 2011.

Audit Poster submissions should describe the audit process, including the standard (national or local), and
should include the re-audit stage of the audit cycle whenever possible. Please note that CPD credits (3 for
lead author, 1 for each co-author) are awarded for authorship of posters presented at this conference. (Also,
see Rule 9.)

2011 Audit Poster Competition Rules

Submission

1. All audit abstracts should be submitted as e-mail attachments to Mrs Nan Parkinson, Administrator,
Professional Standards Team: nan_parkinson@rcr.ac.uk

2. The first or second named author of a poster must be an active member or Fellow of the Royal College of
Radiologists (RCR). Other authors do not need to be members or Fellows of the RCR.

3. The deadline for submission of abstracts is Monday 4 April 2011. Abstracts received after this time will
not be accepted for judging. Entrants will be advised by the RCR by 11th April 2011 whether or not their
abstracts have been judged suitable for display at the CO Audit Conference.

4. All successful entrants displaying a poster must e-mail a pdf, jpg or ppt. file of their poster so that the
judges may preview them prior to the date of the conference. Files should be emailed to Nan Parkinson
(nan_parkinson@rcr.ac.uk) by Monday 2 May 2011.

Content

5. Audit poster abstracts should comprise the background to and the aim of the audit, the standard,
methodology, results, action plan, results of re-audit (if applicable) and key references. Discounting the
references, the total word count should not exceed 250 words.

6. The hospital/Trust named on the poster should be the one named on the submitted abstract, and should
ideally be where the audit was undertaken.

Copyright

7. On submission of the abstract, the submitting author must ensure that he/she has approval and
copyright assignment from all co-authors involved in the work in order to confirm that copyright is passed
to the RCR (see rule number 8).

8. A pdf of the first and second prize winning posters will be published on the public area of the RCR web
site. All winning poster authors and co-authors must assign copyright of the poster to the RCR before this
can take place. The copyright form can be requested from Nan Parkinson by e-mailing:
nan_parkinson@rcr.ac.uk

9. Where appropriate, authors of displayed posters will be invited to submit audit templates based on their
work to The Royal College of Radiologists’ Clinical Oncology Audit Committee’s online audit template
module: Clinical Oncology AuditLive. Authors of templates published on CO AuditLive will be awarded
CPD credits (3 for lead author, 1 for each co-author). Where authors decline to submit their work to CO
AuditLive, COAC reserves the right to use suitably adjusted and anonymised material from abstracts to
create audit templates.

Attendance at the RCR CO Audit Conference, 6 May 2011

10. In order for a poster to be eligible for display at the conference, at least one named author must register
for the CO Audit Conference. Registrations must be received by 25 April 2011. RCR members and fellows
can register online or downloading a registration form available on-line at www.rcr.ac.uk/radiologyevents.
Registration forms should be sent, with payment, to Mrs Nan Parkinson, Administrator, Professional
Standards Team, The Royal College of Radiologists, 38, Portland Place, London W1B 1JQ. Failure to
thregister by 25 April 2011 will result in the poster being withdrawn from the competition.

Posters

11. Posters must be A1 size (height = 841 mm; width = 594mm).

12. The RCR logo or crest must not appear on posters.

13. Posters must be put on display at the Audit conference by 9.30am on 6 May 2011.

14. A4 hand-outs or notes may be provided. These should be held in a clear file, attached to the poster
board. Conference delegates will have access to the posters during refreshment breaks. Authors must be
available by their posters for questions during the second half (1.30 – 2pm)of the lunch break.

15. Posters must be removed by 5pm on the 6 May 2011. Any posters left after this time will be destroyed.

16. The RCR does not accept liability for loss of or damage to posters.

Decisions

17. Audit poster abstracts will be assessed by members of the CO Audit Committee. Prizes are offered for
posters that attain or exceed a quality threshold determined by the judges.

18. Posters selected for display will be assessed by members of the CO Audit Committee. The judges will
preview the posters in advance of the meeting. The winning poster titles will be announced at the conference
on the 6 May 2011.

19. To avoid any conflict of interest, judges will not score abstracts or posters submitted by colleagues from
their own institution.

20. The decision of the judges is final.

Prizes

21. The winner of the Audit poster competition will receive book tokens to the value of £100. The second
prize winner will receive book tokens to the value of £50.
