IMPORTINGAFILEINTOTHEDIRECTORY Beforeyoucanimportafileintoyourpersonaldirectory,youmustexportafile.Forexample,youwould firstexportafilefromOutlook,thenimportintothedirectory. IMPORTINGDIRECTORYENTRIESFROMACSVFILE

YoucanimportanexistingcontactlistthatyouexportedfromOutlookorExcelasacommaseparated value(CSV)file.

CREATINGACSVFILE

Outlookhasan"ImportandExport"featureundertheFilemenuthatallowsyoutoexporttheContacts list.ACSVfilethathasbeenexportedbyOutlookcanbeopenedandeditedinExcel.Also,afilecanbe createdinExcelandthenexported.

NOTE: IfyourCSVfilewascreatedinExcelandcontainsalonginternationalnumberstartingwitha zero,thedefaultcellsizeinExcelwilldisplaythisnumberinexponentialformat.Whenthis informationisexportedfromExcelintoaCSVfile,theleadingzeroisnolongeronthenumber. WhenthedataisimportedintoWebPortal,thenumberwillnotbecorrectbecausetheleading zerowasnotinthefilethatwasimported.

For example: phonenumber011‐845‐882‐2999,whenenteredinExcelwiththestandardcellwidth, willbedisplayedas1.18459E+11.Therefore,11845911willbethenumberthatgetsexportedtoaCSV filebyExcel.

Tocorrectthisproblem,besuretowidenthecolumnsinExcelsothatthenumberisdisplayedcorrectly beforeyouexportittoaCSVfile.ThisproblemdoesnotoccurwhenexportingdatafromOutlook.

CHECKINGTHEFILEFORMAT ColumntitlesareimportantintheCSVfilethatisbeingimported.Thecolumnsmustbelabeledaslisted belowincludingcase.Failingtocapitalizealabelasshownwillcausetheimporttofail.Orderofthe fieldsisnotimportantandmissingoradditionalfieldsaresimplyignored.WebPortalwillusethe informationfromcolumnswithmatchinglabelstocreatethePersonalDirectory. •FirstName •LastName •Company •BusinessFax •BusinessPhone •HomePhone •MobilePhone •Pager •E‐mailAddress

IMPORTINGTHEFILE ToimportaCSVfileintoWebPortal,dothefollowing: OntheDirectorytab,selectthePersonaltab. ClicktheImportbuttonatthebottomofthescreen. OntheImportpage,select: Append‐ifyouwanttoimportallnewdirectoryentries(noneofthecontactsintheCSVfilealready existinyourPersonalDirectory) Overwrite‐IfyouwanttoupdateyourexistingPersonalDirectoryentrieswithanychangesandifyou addednewcontactstotheCSVfile. NOTE:IfyouhavecontactsintheCSVfilethathavealreadybeenimportedtothedirectory,andAppend isselected,theimportfunctionwillfailduetoduplicateentries. Typeintheentirepathnameofthefileyouwishtoimport.Ifyoudonotknowthepathname,click Browsetosearchforthefile. ClickUploadFiletoimportthefile. Awindowwillbedisplayedlistingthecontentsofthefile.ClicktheImportbuttontoimportthefile.If youdonotwanttoimportthefileshownoryouwishtoselectadifferentfile,clickthebrowser'sBack button. ".
