Tutorial 2: Working with Suppliers, Ingredients and Packaging.
Suppliers
Choose Suppliers from the navigator or click on the toolbar or alternatively click on the Activities
menu and select the
Maintain suppliers
from the dropdown menu.
Ingredients and packaging added to the database should ideally be linked to a supplier. When you
begin entering your production schedules, this will enable you to generate reports listing the
ingredients and packaging required from each supplier.
The maintain suppliers window is equipped with a grid that displays the suppliers company name, a
contact name at the company as well as telephone and fax number.
At the bottom of the
window are three
buttons and a check
box:
New, Edit, Delete
and
View All.

To add a new supplier to the database,
click on the New button and the Add
Supplier window will be displayed.
Enter the supplier’s details and then
click on the OK button to save.
The Inactive box can be checked if you do not want the newly entered supplier to appear in the list of
suppliers. The supplier record will remain in the database, but will only be visible in the list of
suppliers when the Inactive box is unchecked.
If you check the View All box in the Maintain Suppliers window, then all suppliers will be displayed,
irrespective of whether or not the supplier was entered as inactive in the Add Supplier window.

Ingredients
From the navigator click on Ingredients or click on Ingredients from the toolbar. Alternatively click on
Activities on the menu bar and choose
Maintain Ingredients
from the dropdown menu.
End.
The maintain ingredients window will be displayed.
To add a new ingredient click on the New button at the bottom of the window and the Add Ingredient
window will appear.

Name - Enter the name of the ingredient.
Brand – Click on the Brand button in order
to add a brand name.
(Note: This is the only window where new
brand
names
can
be
added
to
the
database.)
Click on the Add button, type the name of
the brand and click on OK and then close
the window. The newly added brand name
will now appear in the Brand box. If there is
already a list of Brand names in the
database and you are adding an ingredient,
click on the dropdown in the brand combo
box and select from the list of brand names.
Supplier – If you know the name of the supplier start typing and the name will appear, otherwise click
on the dropdown and select from the list.
Cost – Enter the cost of the ingredient, tab to the next box and enter the amount and units that the
ingredient is supplied in, e.g.
New units can be added or existing units edited by clicking on the button next to the unit box. If you
click on the dropdown in the unit box you can select from the units that are already in the database.
Treat as Flour – Check this box if the ingredient is flour and the recipe that will be made with this
ingredient is bread, and all remaining ingredients will be entered as a percentage of flour.
Inactive – Check this box if you do not want the ingredient to appear in the Maintain Ingredient
window. This feature can be used for ingredients that are only used seasonally e.g. Christmas, Easter
and various holidays. In this way the ingredient will still remain in the database, but will not appear in
the list of ingredients until it is made active. This helps to reduce the list of ingredients which flexiBake
has to keep displaying.
NOTE: flexiBake will not allow you to delete any ingredients that are being used in any recipes that
are currently in the database. Only ingredients that are not being used in any recipes can be deleted.

Searching for Ingredients
To search for a particular ingredient, start typing the name of the ingredient in the text box. As each
new letter is added, the list in the grid below will change bringing you closer to the name of the
ingredient you are searching for. If the name appears in the grid below before you have finished
typing, simply double click on the record to open.

flexiBake is also
capable of seperating
the ingredients that
have been added as a
recipe. If a recipe has
been added using the
Add Recipes
window
and has then been
converted into an
ingredient (there is a
button at the bottom of
the Add Recipes
window that can be
clicked on
Convert to
Ingredient)
it will
appear in the Maintain
Ingredients window as
an ingredient with an
R
” next to it. This enables you to easily identify all the ingredients which are recipes. You can choose
to display only the ingredients or recipes or both.

When you have entered a number of different ingredients into the database, the ingredients can be
sorted using the filter button at the top of the window.
You can sort the ingredients by Brand name or Supplier. You can choose to display only ingredients
that are of a particular Brand Name, or the ingredients which can be obtained from a specific Supplier
or all the ingredients of a particular Brand name which can be obtained from a specific Supplier. Click
on either Brand or Supplier or choose both and then click on the Apply Filter button. If you want to
select another Brand or Supplier then click on the Reset Filter button and choose again.

Packaging
From the navigator click on Packaging or click on Packaging from the toolbar. Alternatively click on
Activities on the menu bar and choose
Maintain Packaging
from the dropdown menu.
The Maintain Packaging
window appears.
To add new packaging
click on the New button at
the bottom of the window
and the Add Packaging
window will appear.
Type the description of the packaging in the Description field, tab to the Supplier field and choose the
supplier from the drop down or type in the name.
Type in the cost of the packaging per how much it is supplied for that amount. See examples below.
The Inactive box can be checked if you do not want the newly entered packaging to appear in the list
of packaging materials. It will still remain in the database, but will only be visible in the list of
packaging when the inactive box is unchecked.
If you check the View All box in the Maintain Ingredients window, then all ingredients will be
displayed, irrespective of whether or not the packaging was entered as inactive in the Add Packaging
window.
