ConfidentialityAgreementAllemployeesofRutgers,TheStateUniversityofNewJersey(university),whohaveaccesstobackgroundinvestigationreportsandpersonalinformationderivedfromthereports(staffmember)areexpectedtousecomputingandinformationtechnologyresources,andallothersourcesofemployeeinformationandrecords,inaresponsiblemanner,respectingtherightsandprivacyofothers,theintegrityoffacilitiesandcontrols,andallpertinentlawsandUniversitypoliciesandstandards.
Eachindividualuserhasanobligationtoabidebythefollowingstandardsofacceptableandethicaluse:
Useonlythosecomputingandinformationtechnologyresources,andallothersourcesofemployeeinformationandrecords,forwhichyouhaveauthorizationandfortheirintendedpurpose.Thisinformationcanbeineitherelectronicorhardcopyformats.Protecttheaccessandintegrityofcomputingandinformationtechnologyresources,andallothersourcesofemployeeinformationandrecords.Donotreleaseand/ordiscloseconfidentialinformationunlessspecificallyauthorizedbyasupervisorortheGuidelinesforConductingBackgroundInvestigations.Abidebyapplicablelawsanduniversitypoliciesandrespectthecopyrightsandintellectualpropertyrightsofothers,includingthelegaluseofcopyrightedsoftware.Respecttheprivacyandpersonalrightsofothers.
Anystaffmemberfoundusinginformationresourcesforunethicalandunacceptablepractices,orcausingtheunauthorizedreleaseordisclosureofconfidentialinformation,willbesubjecttodisciplinaryproceedings,uptoandincludingsuspensionofsystemprivileges,terminationofemploymentand/orlegalactionasmaybeappropriate.Theuniversityreservestherighttoexaminematerialstoredonalluniversityownedequipmentincluding,butnotlimitedto,desktoppersonalcomputers,laptoppersonalcomputers,sharedfilesystem,PDAsandallremovablemedia,ifthereissuspicionthatthestandardsforacceptableandethicalusearebeingviolated.
Bysigningbelow,youunderstandandagreethatauthorizationtoaccessuniversityinformationisgrantedsolelyforthepurposeofcarryingoutyourdutiesinconductinguniversitybusiness.Youalsoagreethatuniversityinformationmaybesharedonlywithotheremployeesorotherswhohaveaneedtoknowthisinformationinordertoperformtheirdutiesonbehalfoftheuniversity.Youalsoagreetorequestinadvancetheconsentofyoursupervisorforthepermissiontodiscloseuniversityinformationtoanyoneelse.Bysigningbelow,youalsounderstandandagreenottodisclosepasswords,accessprocedures,andsecurityprotocolsregardinguniversitycomputersystems,informationtechnologyresources,andallotheremployeeinformationexceptasmayberequiredtoperformyourofficialduties.Personalcomputersandworkstationswillbekeptinaccessibletootherswhenyouareabsentfromyourworkarea.Anyfilecreatedfromuniversityinformationwillalsobesecuredanddiscardedinamannerthat
