Document Audit
Review your existing resources
A Document Audit establishes which of your written and visual
communications are working the way they should be.
The Document Audit process can be used to address a variety of
communications issues, depending on your company’s individual requirements. We can assess
whether your promotional material is reaching its intended audience and achieving results in
terms of promotion, recognition and/or sales. We can ensure your internal documents achieve the
purpose for which they were written, including meeting compliance requirements, developing staff
awareness of specific issues, or simply making sure they are used daily to increase efficiency. We
can assess your current document management systems and advise on ways in which they may
work more effectively.
If you have undergone a preliminary Gap Assessment, you will have a clear idea of the areas that
need attention, and we can work from there.
Assessment and review
We assess your current documents in terms of purpose, intention and audience and explore how
wording, design, effectiveness and overall readability can be improved. If a document is no longer
active or useful, it can be archived or shredded to create space for more relevant material.
We also review your other communications and systems, such as how and where you store your
important documents, the resources you need to develop for ongoing consistency, and how to
create maximum relevance (and therefore usefulness) in all future documents.
Format
These assessment and review sessions are undertaken as stand alone units or can be run over
a number of sessions, depending on the size of your company and the complexity of your
documents. At the end of the audit you can choose to implement the suggestions discussed in-
house, with Clarity Point advising as required, or we can continue assisting by undertaking the
redevelopment for you (see Document Development options).
Document Audit sessions are 3 – 3.5 hours, allowing us to cover plenty of ground without losing
focus. You will also receive a comprehensive follow up report detailing everything covered in each
session, actions you need to take, areas that require further review, etc. These reports also double
as useful educational tools for developing future documents.
Individual Audit Sessions
(single sessions)
Recommended for smaller companies with a maximum of ten staff, or as an initial ‘taster’ of
the Document Audit process. These are stand alone sessions with no ongoing commitment.
Multiple Audit Sessions
(minimum 3 sessions)
Recommended for larger companies with two or more departments and more complex document
managment requirements. Also beneficial for companies that have recently undergone rapid
growth and whose documentation has been left behind. Minimum commitment is three sessions
which can be undertaken weekly, fortnightly or monthly, depending on how quickly you need to
complete the audit.
